Operations Administration Coordinator (Remote - Central Florida/Orlando, FL)

AMES1 is seeking an Operations Administration Coordinator to join our team in the central Florida/Orlando FL area.  This position has been created to 
support our growth and will be reporting directly to our awesome Operations Manager.

Essential Duties & Job Functions:

  • Provide administrative support to the Operations Manager and Project Management Team. 
  • Provide document administration for all phases of the construction process.
  • Provide subcontract administration support including creating, distributing, and tracking contracts, subcontractor documentation and change orders. 
  • Act as liaison between Operations Manager and Project Managers.
  • Act as liaison between Operations Manager’s Team and Home Office Administrative staff.
  • Create and track reports for use by our management staff.
  • Attending meetings as requested, take accurate notes, produce, and distribute meeting minutes.
  • Assist with the solicitation of bids from subcontractors as requested.
  • Maintains contract and contractor status databases.
  • Maintain electronic filing system in Datto.  
  • Responsible for receiving and reviewing employee timesheets for submission to Operations Manager on a weekly basis.
  • Reviewing and managing project construction files for accuracy and completeness.
  • Review all subcontractor documents for accuracy and completeness prior to subcontractor commencing work.
  • Assist Operations Manager by tracking information to help meet deadlines for each project.
  • Attend weekly project meetings via video or teleconference.
  • Performs other administrative duties as needed.
  • Responsible for preparation of Operations Manager’s monthly expense report.

Job Requirements Mandatory:
  • 2 years of construction experience required.   
  • Experience with federal construction projects particularly DOD/USACE and other Federal agencies is highly desired.
  • Ability to coordinate multiple projects.
  • Stable job history.
  • Strong written and verbal communication skills.
  • Strong organizational and detail skills.
  • Ability to work with Project Managers, Superintendents, and subcontractors.
  • Skilled in the use of data base management (Datto).
  • Able to read construction documents, plans, specs, details, etc.
  • Able to track project progress from development through construction.
  • Capable of anticipating questions and identifying inconsistencies in the documents.
  • Strong editing and proofreading skills.
  • Strong computer skills in MS Suite
  • A dedicated at-home workspace is required.
  • Demonstrated decision-making and problem-solving abilities
  • Must be a self starter.
PHYSICAL REQUIREMENTS:
  • Must be able to sit/stand at desk for long periods of time.
  • Most be able to focus on details, typically for long periods of time.
  • Must be able to use laptop;
  • Must be able to communicate orally and use phone.
  • Light required to local, in-person meetings, that may little to no notice.
  • Must be able to manage multiple priorities simultaneously.
